MAIN PURPOSE OF JOB
To administer support to the Defence Section ensuring the successful delivery of the UK/India Bi-Lateral Military Engagement programme. This will involve liaising with numerous agencies both international and in-country.
To provide imprest account support to the Defence Section ensuring cash and bank transactions are correctly recorded daily, reconcile and balance accounts monthly, collating all vouchers, invoices, bank statements, un-presented cheques and cash. Prepare and submit monthly budget reports. Compile and submit monthly, quarterly and annual administrative returns. Calculate pay salaries for five locally employed staff. Assume responsibility for the security of and access to cash, cheque books, vouchers and keys, highlighting and reporting any anomalies.
Assume responsibility for the inward and outward preparation, administration and briefing of the National Defence College and Defence Services Staff College students and their families, acting as point of contact during their tour.
Monitoring the Defence Section mail box.
Processing Diplomatic Flight clearances.
Assist the Events Officer and Programme Officer with inward visits to   India.
ROLES AND RESPONSIBILITIES (What will the jobholder be expected to achieve?)
FINANCIAL RESPONSIBILITY (60%)
  • Preparation of budget reports and returns for senior management.
  • Preparation of monthly, quarterly and annual budget reports for submission to International Policy Planning Budget Managers.
  • Record and reconcile all expenditure against annual budgets.
  • Calculations of salary/overtime payments for the Defence section LE staff.
  • Process monthly returns by collating vouchers, invoices, bank statement, un-presented cheques, cash and cheque balance.
  • Maintain Imprest cash book.
EVENT HANDLING (25%)
  • Assist with Defence Section visit programmes.
  • Liaise, co-ordinate administrative organisation of Defence Section visits/visitors to India.
  • Production and despatch of invitation cards as required
ADMINISTRATIVE (10%)
  • Routine correspondence and general administration.
  • Update and maintain filing system.
  • Collection, distribution and despatch of unclassified mail.
  • To act as the focal point for the administration of the National Defence College and Defence Services Staff College Students arrival and departure.
  • Monitor the Defence Section Mailbox.
  • Process request for diplomatic flight clearances.
MISCELLANEOUS (5%)
  • To perform other role and responsibilities as assigned by the Office Manager                                                                 .
WHAT WE DO:
Provide support to our team of 3 Attaches in their efforts to promote Defence Engagement with the Indian Armed Services.

A strong working team ethic who can adapt   to fast changing situations in a busy working environment. Strong spoken and written communicative   skills and an aptitude to basic finance and managing a cash imprest.
RESOURCES MANAGED (Staff and Expenditure)
No staff to manage all expenditure is authorised  by Office Manager or Attaches.
Pl Note - This position is open to British Nationals only. 



2-3 years of administrative experience.
Strong written and oral communication skills with ability to absorb information quickly and efficiently.
 Proficient in the use of MS Word, MS Excel, MS Outlook and resourcefulness to efficiently search the web.

Previous Finance experience.

For British High Commission (BHC) candidates, the Local Staff BHC Terms & Conditions will apply.
For other than BHC Candidates, starting Salary Rs 47,127 per month with an additional 80% Security Allowance and an additional allowance of 18% in lieu of Provident Fund and Superannuation Fund ; The successful candidate will be provided with 25 days annual leave and in addition study, maternity/paternity and special leave in agreement with their line manager and business need. The package also entitles the incumbent to a domiciliary medical allowance including hospitalisation cover for self, partner and children.

LEARNING AND DEVELOPMENT OPPORTUNITIES (and any specific   training courses to be completed):
The MOD will provide training in the UK in   the form of the Defence Attache and Support Staff Course and the Imprest   Accounting Course. There are also   opportunities for online training via the MOD Intranet.
