This is a fast paced job, providing direct support and assistance to the Economic and Trade Policy Counsellor, working as a key member of a high performing Embassy team. It needs excellence in the basics of the PA and office manager role, but includes important work to support on information and budget management and official visits. 

Position responsibilities:
  • Provide high quality secretarial and administrative support to the Counsellor for Economic and Trade Policy, including through effective diary management, meeting and travel arrangements.
  • Arrange meetings, travel booking, and other general support to the Economic and Trade Policy team; invite and coordinate attendance of external contacts for official Embassy events; organize annual China network conference.
  • Support arrangements for official visits; arranging invitations, liaising with Chinese Ministries and other organisations, scheduling meetings; booking hotels, travel, and interpreters.
  • Budget management - Accurately complete financial processes and manage travel and entertainment budgets for the team; coordinate team travel plan and monitor section’s monthly spending report.
  • Information management - Manage the team’s contacts database, the network intranet, distribution lists and induction material.
  • Good knowledge of Microsoft office (Word, Outlook, Excel, PowerPoint)
  • High level of written and spoken English.
  • Previous administrative work, office manager, or PA experience in a busy team environment would be a benefit.
  • Knowledge of UK or Chinese government.
  • Chinese language to a high level of fluency would be a strong advantage, but is not essential if counterbalanced by other strong skills and competence.

We also offer excellent development opportunities and a 22-day annual leave entitlement in pro rata. Conditioned working hours is 35 hours/ week from Monday to Friday and flexible working can be arranged upon personal needs.
