The British Consulate-General in Madrid protects and promotes the interests of approximately 1.2 million British visitors and approximately 18,000 British residents each year in a large consular district which includes the autonomous communities of Madrid, Galicia, Principado de Asturias, Cantabria, País Vasco, Navarra, Rioja, Castilla Leon, most of Castilla de la Mancha and Extremadura.
The Consulate-General is seeking to recruit a permanent Consular Assistant to join their dynamic, highly motivated and experienced Central Spain Consular Assistance team which is committed to delivering high-quality customer service.
The core of the job will involve processing Notarial and documentary service applications and enquiries for British Nationals in Spain. You will also attend to members of the public at the front counter, including the processing of emergency travel documents to British nationals who have had their passports lost or stolen. Other tasks include taking telephone calls, answering written enquiries by email, letter or fax and ensuring the consular officers have all the necessary support, to enable them to give the best service to our customers. The support needed includes filing, general administrative duties and arranging visits and meetings for members of the consular assistance team.
Main Duties / Responsibilities
- Notarial and Documentary Services processing including answering non standard enquiries from the public. Answering non standard enquiries from the public.
- Dealing with Notarial issues and problem solving with the Spanish authorities both in written and verbal form.
- ETD issuing and attending to other customers including Notarial customers at the counter.
- Answering general enquiries either by email, post or fax.
- Back office work filing and general admin and support for the team. Compiling statistics on Notarial work. Daily and monthly fee reconciliation.
- Crisis support when required.
- Proven experience in customer handling;
- Excellent interpersonal skills, ability to work collaboratively with colleagues in Spain and the UK as well as the public;
- Excellent communication skills – written and oral – Fluency in both English and Spanish (a minimum of C2 level**);
- Strong IT skills (Outlook, PowerPoint, Word and Excel);
- Ability to work at pace and prioritise, managing an often heavy workload.
- Previous experience in Consular, Customer service roles or Social Welfare background;
- Team orientation and target driven performance;
- Excellent organisational administrative skills;
- Excellent attention to detail and strong analytical and problem solving skill;
- Dynamic quick to learn and uses initiative and proactive;
- Driving licence.

The successful candidate is subject to a confirmation of a background check, security clearance and the successful completion of a probationary period and should be available to start working as soon as possible from July 2016.
Full induction and training in consular work will be provided to the successful candidate.
The successful candidate will be enrolled in the Spanish Social Security Scheme and will therefore not be entitled to any gratuity from the Embassy/Consulate based on gross annual salary.
Regarding taxation, the Consulate in Madrid is part of the British Mission in Spain, and as such supervised by the British Embassy. The Embassy is a Diplomatic Mission with tax exempt status and does not collect taxes for other States. Employees are fully responsible for payment of Spanish income tax at the legally required rate. Staff recruited locally by the British Embassy in Spain are subject to terms and conditions of service according to local Spanish employment law.
