The British Embassy’s Foreign, Security and Political Group (FSPG) is looking for a dynamic and capable Projects Coordinator to work as part of a team providing cross-cutting administrative support. The job holder will focus, in particular, on administering British Government-funded projects in the US covering a range of security, proliferation and human rights issues.  In this role, you will contribute to the delivery of core UK objectives, including by working closely with colleagues to deliver well-designed programmes for visiting British officials involving a range of Washington-based contacts, and by helping the team to build its network in Washington through the delivery of targeted events.  
Training in project management will be provided and the applicant must be able to travel for the training.
Duties and Responsibilities:
Projects
  • Prepare grant contracts using standard forms.
  • Ensure implementers understand and follow project management processes.
  • Administer project spending using Oracle-based database.
  • Track project spending, flagging up potential under spend and over spend.
  • Track project activities, flagging up delays or changes to plans.
  • Request and analyse quarterly and completion reports from project implementers.
  • Manage day to day contact with implementers.
  • Support project policy lead in the project bidding process.
Managing visits process
  • Liaise closely with FSPG policy leads to establish visit objectives, and design well-targeted programmes.
  • Arrange calls, accommodation, and transport in line with visits best practice.
  • Produce draft and final programmes, keeping relevant stakeholders informed.
Other Administrative duties
  • Plan and deliver events in support of visits and wider FSPG objectives, including securing venues, organizing catering, managing guest lists and providing on-site support.
  • Provide general financial support to the team to facilitate smooth payment of suppliers.
  • Undertake additional support and policy research work, as agreed with line manager.
  • A minimum of 2 years substantive experience in relevant positions;
  • A university degree;
  • Interest/experience working in the international affairs arena;
  • Well organised and flexible, with the ability to manage competing demands;
  • Excellent verbal and written communication skills;
  • Proven ability to build constructive relationships and work as a team player;
  • Strong interpersonal skills, including the ability to be professional, courteous and deal directly with key players at a senior level both inside and outside the Embassy;
  • Proven ability to handle budgets and financial data.  Project management experience desirable.
  • Proficient user of Microsoft Office, including Word and Excel.
Under US State Department requirements, the Embassy may only employ, as non-diplomatic staff, persons who are US citizens, US Green Card holders or A or NATO visa holders with EAD cards*. If you hold a visa other than an A or NATO visa you are not currently eligible to work at the Embassy.  Please refer to our website for information on exceptions to this policy at www.gov.uk/government/world/usa.  All candidates will be subject to background checks and security clearance. 
*A visas or NATO visas with EAD cards are acceptable at the Embassy, Consulates, and British Defence Staff (BDS) outposts.  The UK Mission to the UN (UKMIS) accepts G visas.

The hourly rate for this position is $19.08 hour to be confirmed upon offer of employment. Individuals who are not US taxpaying citizen will be paid a net salary based on a simulated US tax status.
